Privacy notice
This draft explains the limited data flows in the current private website and synthetic app preview. It must be finalised against the live systems before public launch.
1. Current status
The current site is a private pre-launch build. It has no advertising analytics, mailing-list integration, customer database, employee-record upload or live AI connection. The app uses fictional demonstration data.
2. Controller details to confirm
This draft assumes Aspinall Collective Ltd will be the controller for website enquiries. The company number, registered office, jurisdiction, final privacy inbox and ICO registration/fee position must be confirmed before launch.
3. Information that may be received
If you choose to email us, we may receive your name, work contact details, organisation, role and the information you include. Do not send employee names, health information, case files, payroll data, allegations or other sensitive records through an initial website enquiry.
4. Purpose and lawful basis
Enquiry data would be used to respond, assess fit, prepare a requested proposal and protect legitimate business records. The final notice must document the correct UK GDPR lawful basis for each purpose before collection begins. Consent will not be treated as a catch-all basis.
5. Sharing and international transfers
No sale of personal data is intended. Any hosting, email, CRM, legal, accounting or specialist supplier used at launch must be listed or described by category, covered by appropriate terms and assessed for international transfers.
6. Retention
A final retention schedule is required before launch. The working proposal is to delete unsuccessful enquiry records after 12 months unless there is a lawful reason to keep them, and to retain client records only for the period required by the contract, law, insurance and legitimate claims management.
7. Your rights
Depending on the circumstances, UK data-protection rights may include access, correction, erasure, restriction, objection and portability. You may also complain to the Information Commissioner's Office. The live notice must state the accurate routes and limitations for each right.
